How to Prepare Your Aquarium for Vacation

Having an aquarium doesn’t mean you have to put your travel plans on hold. A stress-free vacation is absolutely possible, it just takes a little planning before you leave.

For desktop reef keepers, the goal is to keep your tank’s familiar routine going while you’re away. A trusted tank sitter, clear instructions, and a way to check in can help you spend less time worrying about your reef and more time enjoying your trip. Here’s how we recommend getting ready.

Start preparing before the last minute

Give yourself a few days to make sure your aquarium and its equipment are running as expected. Check your pump (clean if needed), heater, lighting schedule, and any automatic top off system you use.

Complete your usual maintenance with enough time to observe the tank afterward. Avoid saving major equipment changes, new livestock additions, or a completely different feeding routine for the night before you leave. You want time to notice and address any issues while you’re still home.

Choose a trusted tank sitter

Your tank sitter doesn’t need to be an expert. They do need to be dependable, comfortable following instructions, and willing to reach out if something looks unusual.

Arrange visits around your aquarium’s needs and the length of your trip. Before leaving, walk your sitter through the routine in person. Show them what your tank looks and sounds like when everything is working properly, including the water movement, normal water level, and temperature reading.

Tip: Let your tank sitter practice while you’re there. Feeding the tank or topping off the water once with you nearby can make the routine much easier to remember.

Leave a simple written care sheet

Even a great walkthrough can be hard to remember several days later. Written instructions give your sitter something to refer back to at every visit.

Our free Tank Sitter Care Sheet includes space for:

  • Your travel dates and contact information

  • A backup contact

  • Feeding days, portions, and instructions

  • Temperature and water level checks

  • Water top off directions

  • Lighting and equipment notes

  • Instructions for when something looks wrong

Fill it out before you leave, review it together, and place it beside your aquarium with the supplies your sitter will need.

Label your supplies and equipment

Labels can make a big difference for someone who isn’t familiar with your aquarium. Even after a walkthrough, it’s easy to forget which cord powers the pump or which container holds the top off water.

Before you leave, clearly label:

  • Cords and equipment: Identify the pump, heater, light, and any other devices. Match those names to your Care Sheet so your sitter can easily identify what you’re referring to if you need to help over the phone.

  • Water containers: Label fresh top off water clearly. For example, “Fresh RODI Water: For Top Off Only.” If you also keep premixed saltwater nearby, label it separately so the two aren’t confused.

  • Food: Label each food with the amount and feeding schedule. If you prepare individual portions, mark each one with its feeding day or date.

Keep labels easy to read and protected from splashes. A few minutes spent labeling before your trip can prevent mixups and help your tank sitter feel much more confident.

Check in with the Micro Reef Controller

Being able to check on your aquarium while you’re away can add some welcome peace of mind. Our Micro Reef Controller lets you monitor water temperature and manage compatible equipment, including your heater, pump, and lighting. Once connected to your home Wi-Fi and configured for remote access, you can check in through the online dashboard while you’re away.

It’s a convenient way to keep an eye on temperature, maintain your lighting schedule, and access your tank’s controls from your phone. Set it up ahead of your trip and test remote access before leaving. Check that your specific tank equipment is compatible, and keep your tank sitter’s instructions consistent with the settings you’ve chosen.

Remote access works alongside those in-person visits. Your sitter can still check for leaks, observe your inhabitants, and handle feeding or water top offs.

Make it easy to ask for help

Let your sitter know they can contact you whenever they’re unsure. A quick photo or video can help you understand what they’re seeing and give clear directions. Explain which situations need a prompt call, such as a stopped pump, a leak, or a temperature reading outside the range you’ve written down. Leave a backup contact in case you’re unavailable.

Encourage them to check with you before changing settings, adding products, or doing maintenance outside the routine you’ve agreed on.

Enjoy your time away

A little preparation can make vacation care much more manageable for you and your tank sitter.

Keep the routine simple, label your supplies, and leave clear instructions. With a trusted person checking in and your plan in place, you can head out knowing your aquarium’s care is covered.
